Anyone shopping for AI customer onboarding software hits the same wall fast: most vendors in this category do not publish what they charge. That gap is why so many "comparison" articles end up filled with invented pricing tables and benchmark statistics that no vendor ever released. This version reports only what the companies themselves publish, checked directly against their pricing and press pages in July 2026, plus one third-party dataset that is clearly labeled as buyer-reported rather than official.

Only one of these four vendors publishes a real price

Of the four platforms most often shortlisted for AI-assisted onboarding and product adoption — Pendo, Gainsight, Userpilot and Appcues — exactly one puts dollar figures on its public pricing page.

Userpilot: the only published list prices

Userpilot's pricing page lists Starter at $299/mo covering up to 2,000 monthly active users, and Growth — flagged as "Most popular" — at "From $849/mo" starting from 2,000 MAUs. Enterprise is listed as "Let's Talk." The page shows monthly figures only and does not state annual billing terms. Starter covers in-app user engagement, user segmentation and tracking, usage trend analysis and NPS surveys. Growth adds advanced product analytics, event autocapture, a resource center with advanced in-app surveys, and email engagement, with unlimited session replays and mobile engagement offered as add-ons. Enterprise layers on premium integrations, bulk data export and import, data warehouse sync, custom roles and permissions, SAML SSO, activity logs, security audit and compliance, and a custom contract and SLA.

Appcues: tiers without numbers

Appcues publishes three tiers — Start (up to 3,000 MAUs, 10 published experiences), Grow (starting at 3,000 MAUs, 25 published experiences) and Enterprise (custom MAU volumes, 100 published experiences) — but no dollar amounts at all. The page explains the model instead: "Pricing is based on monthly active users, number of installations and published experiences — growing only when your product usage and results do." Worth flagging: several third-party blogs currently cite a specific Appcues entry price. That figure does not appear on the official page, and it should be treated as unverified until a quote lands in your inbox.

Pendo: five plans, one free, no prices

Pendo's pricing page lists Novus (free beta), Free, Base, Core and Ultimate. The Free plan covers up to 500 monthly active users, and Pendo offers a 30-day free trial of the full platform. Every paid plan shows "Custom pricing" with a request-a-demo call to action. Pendo does describe the mechanics openly: "Pendo pricing combines two things: the number of Monthly Active Users (MAUs) you track and the functionality you choose as part of your plan. As you add more MAUs, your overall price increases, but the cost per MAU goes down."

Gainsight: packaged by seats and records

Gainsight's pricing page carries no dollar amounts either. Its Customer Success product is packaged as Essentials (10 included full users, 100 customers per user) and Enterprise (20 included full users, 200 customers per user), both described as including AI insights and automations. Adjacent products are packaged separately: Skilljar by Gainsight by number of academy sites (1, 2 or 3 across Essentials, Professional and Enterprise), and Customer Communities by admin seats (3, 5 or 10). Every tier routes to "Request Pricing."

What buyers report paying

Since list prices mostly do not exist publicly, the only quantitative signal available is buyer-reported contract data. Vendr's Pendo marketplace page, last updated February 2026, reports a median of $49,000 per year across 276 transactions, drawn from a dataset of 566 purchases, with a range from $17,625 to $150,056 and average savings of 12% off initial quotes.

Read that carefully. It is negotiated-price data contributed by buyers on one procurement platform — not a vendor list price, not a published benchmark, and not a like-for-like figure. The spread from $17,625 to $150,056 reflects wildly different MAU volumes, application counts and add-on bundles. Use it to sanity-check whether a quote sits in a plausible band. Do not use it as a forecast.

The AI features vendors will actually name

"AI onboarding" covers a lot of marketing ground, so it helps to separate named, shipping features from category language.

Pendo names four on its pricing page: Leo for natural-language question answering, Predict for churn prediction and upsell identification, Agent Analytics for monitoring AI agent adoption and ROI, and Novus for continuous product monitoring with proactive Slack recommendations and auto-instrumentation. Agent Analytics is notable as a second-order product — tooling to measure whether the AI agents you shipped are being adopted at all.

Gainsight's clearest AI move is documented rather than merely described. On August 8, 2024, the company announced a definitive agreement to acquire Staircase AI, founded in 2021 with offices in Los Angeles and Tel Aviv, continuing under the brand "Staircase AI by Gainsight." The platform analyzes customer interactions across email, meetings, chat, Slack and ticketing systems to surface sentiment, churn risk, expansion opportunities and relationship strength without manual data entry. Gainsight President and COO Chuck Ganapathi described the goal as "revolutionizing the early warning system by directly tapping into the implicit signals hidden within human interactions." Deal terms were not disclosed. Gainsight's pricing page also references an Atlas AI Agents product.

Appcues, by contrast, commits only to "Use AI where it helps most" as a capability spanning all plans, without naming specific features on its pricing page. Userpilot's published tiers emphasize analytics, autocapture and engagement primitives rather than separately branded AI products.

Running a comparison that holds up

  • Get quotes before you build a table. For Pendo, Gainsight and Appcues there is no honest way to fill a price column without contacting sales. Any article that has one either obtained a quote or fabricated it.
  • Normalize the billing unit. Userpilot and Appcues price on MAUs; Appcues also counts installations and published experiences; Gainsight packages on full users and customer records. These are not convertible without your own usage numbers.
  • Check what is an add-on. Userpilot lists unlimited session replays and mobile engagement as Growth add-ons. Pendo gates functionality across Base, Core and Ultimate, so the plan name alone tells you little.
  • Use the free tiers. Pendo's free plan covers 500 MAUs, and its 30-day full-platform trial lets you validate instrumentation before any commitment.
  • Date every claim. Everything here reflects vendor pages as published in July 2026. Pricing pages in this category change often.

The practical summary: this is a category where the comparison you need is the one you generate yourself from quotes. Published information gets you a shortlist and a feature map — it will not get you a price table. Any source that hands you a complete one without saying where the numbers came from has told you something important about its methods.
