Shopping for accounts payable automation gets confusing fast, because vendors in this category do not price the same way. Some charge per user seat, some charge a flat platform fee plus usage, and one of the biggest names charges nothing for the software at all and makes money elsewhere. To cut through the noise, we checked the official pricing pages of BILL, Tipalti, and Ramp in July 2026 and corroborated published pricing for Melio and Stampli. Every number below comes from those sources.
Why the pricing model matters more than the sticker price
The most common mistake buyers make is comparing starting prices without comparing pricing models. BILL prices per user: its published plans run $49 to $89 per user per month, so a five-person approval chain on the Corporate plan costs $445 a month before a single payment fee. Tipalti prices per platform, not per seat: its AP product starts at $99 per month with unlimited users, and the company states plainly that pricing is "based on transaction volume, enabled features, and usage, not user seats." A team with many approvers but modest invoice volume will model these two products very differently, and getting that distinction wrong is the fastest way to misbudget an AP project.
On top of subscriptions, nearly every vendor charges per-payment fees, and these compound at volume. A company mailing 500 checks a month through BILL pays $995 in check fees alone, which can exceed the software subscription itself.
How much does AP automation software cost in 2026?
Here is how the five platforms compare on published pricing as of July 2026. Where a vendor does not publish numbers, the table says so rather than guessing.
| Tool | Pricing model | Starting price | Sample payment fees | Best fit |
|---|---|---|---|---|
| BILL | Per user, per month | $49/user/month (Essentials) | ACH $0.59, check $1.99, card 2.9% | SMBs on QuickBooks or Xero |
| Tipalti | Platform fee + usage, unlimited users | $99/month (AP) | Per-invoice and per-payment, quoted | Mid-market with global payouts |
| Ramp | Free core; paid Plus tier | $0 (Plus at $15/user/month) | ACH $0.59, check $1.99; waived via Ramp checking | Card-first teams wanting free AP |
| Melio | Freemium tiers | $0 (paid plans from $25/month) | Extra ACH $0.50, check $1.50, card 2.9% | Very small businesses |
| Stampli | Custom quote only | Not published | Quoted per deal | Invoice-heavy teams needing ERP depth |
What you get at each price point
BILL: per-user plans from $49 to $89 a month
According to BILL's official pricing page, the Essentials plan at $49 per user per month covers bill capture, approval workflows, AI invoice coding, W-9 collection, and payments by ACH, card, or check, but syncs with accounting software only via CSV. The Team plan at $65 adds automatic two-way sync with QuickBooks Online and Xero plus receivables features. The Corporate plan at $89 adds custom approval policies, purchase orders with two-way matching, and integrations with NetSuite, Sage Intacct, QuickBooks Enterprise, and Microsoft Dynamics. Enterprise pricing is custom and adds SSO, multi-entity support, and API access.
Transaction fees apply on every plan: $0.59 per ACH payment, $1.99 per mailed check, 2.9% to pay by card, and 1.0% for instant payments (minimum $9.99, capped at $100). Virtual card payments are free, which is how BILL nudges customers toward its interchange revenue.
Tipalti: a $99 platform fee, not seat licenses
Per Tipalti's pricing page, the Accounts Payable product starts at $99 per month and includes unlimited users and a self-service supplier portal. The total bill is a hybrid: a base subscription plus transaction pricing on invoices and payments processed, which scales with payment count, legal entities, currencies, and enabled modules. Tipalti also sells a separate Mass Payments product starting at $249 per month for businesses paying large payee networks, plus add-on modules for procurement, expenses, and treasury.
The practical takeaway: adding approvers and reviewers costs nothing at Tipalti, so the model favors organizations with wide approval chains and cross-border payouts. The trade-off is that your real monthly cost depends on volume and requires a sales quote.
Ramp: free software, new per-payment fees since June 2026
Ramp's core platform, including corporate cards, expense management, and bill payments to US vendors, remains free. But the free lunch got smaller this year: according to Ramp's pricing overview, effective June 1, 2026, standard ACH payments cost $0.59 and mailed checks $1.99, matching BILL's rates exactly. Same-day ACH runs $10, domestic wires $15, and international SWIFT wires $20. There is a notable escape hatch: those fees are waived when you pay out of a Ramp checking account. The paid Ramp Plus tier, listed at $15 per user per month, adds advanced ERP connections and deeper automation.
Melio: the budget option for very small teams
Melio's published plans start with a free Go tier that includes one user and five free ACH payments a month, with paid tiers from $25 per month adding batch payments, approval workflows, and unlimited QuickBooks Online and Xero sync. Extra ACH payments cost $0.50, mailed checks $1.50, and card payments 2.9%. It is the lightest tool here, best suited to businesses paying a handful of bills monthly rather than running a structured AP department.
Stampli: quote-only pricing built around invoice processing
Stampli does not publish pricing; its pricing page directs buyers to request a quote, with the final figure shaped by invoice volume, ERP environment, and which modules you take, including AP, procurement, payments, and vendor management. Third-party buyer reports place typical mid-market deals in the range of $8,000 to $15,000 a year, but treat any Stampli number that is not on your own quote as an estimate.
Which AP automation tool should you pick?
Match the pricing model to your team's shape rather than chasing the lowest headline number:
- Small team, standard US payments: Ramp's free tier or Melio's Go plan cover the basics at near-zero software cost.
- Growing SMB on QuickBooks or Xero with a small AP team: BILL's per-user model stays affordable when only two or three people need seats.
- Wide approval chains or international payouts: Tipalti's unlimited-user platform fee beats paying $49 to $89 for every approver.
- High invoice volume with a complex ERP: Stampli and Tipalti both warrant a quote; benchmark them against each other.
Whatever you choose, model a full year of transaction fees against your actual payment mix before signing. With ACH at $0.59 and checks at $1.99 across multiple vendors, payment volume, not the subscription line, is often the biggest number on the invoice.
